Studio Booking Dashboard

Studios schedule work from a different view. Instead of seeing only one calendar, they see a timeline with one row per connected freelancer, which makes it easier to compare availability and plan teams.

👀 What studios see

On the studio calendar, each row represents a freelancer:

  • The left side shows the freelancer’s name and role.
  • The right side shows their timeline with all blocks and gaps.
  • Studios can scroll through dates and see multiple freelancers at once.

Blocks on the studio view follow the visibility rules described in the PencilCase Scheduling Logic section:

  • Studio-owned bookings show the project name and pencil type.
  • Other studios’ bookings appear as Challengeable, Unavailable or Confirmed, without revealing names or details.
  • DND is visible as time that cannot be booked.

✏️ Placing a booking request

To request time with a freelancer, studios:

  1. Click on an empty part of that freelancer’s row.
  2. The New Booking Request window opens with the freelancer pre-selected.
  3. They choose a booking type:
    • 1st pencil
    • 2nd pencil
    • Confirmed
    • (Challenge is available when appropriate on an existing block.)
  4. They enter the project name, dates and any notes.
  5. They send the request.

The booking appears on the studio’s view immediately and awaits the freelancer’s response.

⚔️ Issuing a challenge

When a studio sees a block marked as Challengeable:

  1. They click the challengeable block on the freelancer’s row.
  2. A Challenge this booking window appears.
  3. They confirm the dates and enter a project name and notes.
  4. They send the challenge.

After this:

  • On that studio’s calendar, the block shows as Challenged with their project title.
  • The freelancer sees the challenge on their own calendar and decides which booking to confirm.
  • Other studios see that period as unavailable while the challenge is in progress.

👥 Viewing multiple freelancers

The dashboard is designed to help studios plan across teams:

  • All connected freelancers are listed in the same calendar view.
  • Studios can quickly scan for gaps in availability.
  • They can place different pencils on different freelancers and see how these overlap.

This becomes especially powerful when combined with groups.
