A fast overview for studios getting started on PencilCase.

πŸ—οΈ Step 1 – Verify your studio

Studios must be verified before gaining access.

Once approved, your team will have full access to the studio dashboard and tools.

Make sure your company details and website link are added during onboarding.

πŸ“₯ Step 2 – Invite or discover freelancers

Studios can form connections in two ways.

Invite a freelancer directly

  1. Go to Dashboard β†’ Invite Freelancer.
  2. Enter their name and email.
  3. They will receive a signup link with the connection pre-established.

Discover freelancers already on the network

  1. Go to Dashboard β†’ Discover.
  2. Search for freelancers.
  3. Send a connection request.

Connections are required before you can place pencils or view calendars.

Once connected, you can view the freelancer’s shared availability and timelines.

You will see:

  • Your 1st and 2nd pencils
  • Confirmed and unavailable slots
  • Challengeable dates
  • Do Not Disturb (DND) blocks

This view is your source for planning projects accurately.

✏️ Step 4 – Place and manage pencils

From the My Project dashboard, you can:

  • Place 1st pencils
  • Place 2nd pencils
  • Issue challenges

All pencil logic follows industry standards and is handled automatically by PencilCase.

The My Project dashboard shows a multi-artist view of all your connected freelancers.

Use it to:

  • Compare availability at a glance
  • Spot conflicts
